Key Duties and Responsibilities:
Check staff related operating cost postings for accuracy, re-allocating by journal where necessary, identifying and accounting for pre-payments as needed and amending foresheets.
Maintain a continuous live forecast of staff costs.
Approving staff joiners/promotions/department changes, maintaining data lists in all systems.
Review staff utilisation, freelance usage, maternity cover, secretarial and team assistant resource, intercompany staff cost recharges for shared resource.
Staff cost related Audit queries, National Stats enquiries, corporate and social responsibility reporting
Continuous training of the business to ensure that the intention to hire policy is adhered to, thus minimising volume of invoices passing through suspense.
Ensure that the AP suspense account is free from any staff cost related invoices.
Responsible for time sheet compliance
Assist business with ad-hoc queries.
Monthly preparation of staff costs, variance analysis and completion of staff cost reporting schedules (headcount/salary department analysis and raise analysis). Full review of relevant ledger accounts by person, preparing monthly accruals and prepayments, balance sheet reconciliations, holiday and maternity pay accrual calculations.
Supporting the Senior Management Accountant with regular and effective communication of deadlines to all members of the team and wider company.
Prepare forecast and associated reporting
Manage strict adherence to reporting deadlines which involves co-ordinating with shadow Business Units to ensure these are met.
Payroll reconciliations and journal preparation.
Preparation of accruals and prepayments for staff operating costs for review with the Senior Management Accountant, ensuring that all relevant accounts are reconciled for Flash reporting.
Submission of flash, actuals, forecast and budget figures into Cartesis after sign off by Senior Management Accountant and Financial Controller.
Timely calculation, allocation and recharging of costs between other business units.
Supporting the Senior Management Accountant in production of timely and accurate Management Information.
Quarterly - forecasting
Other Ad hoc tasks necessary to the smooth running of the Finance Department.
The ideal candidate must:
Be studying for Accountancy qualification such as CIMA, ACCA or ACA.
Meticulous attention to detail.
Have strong Excel skills, macro level.
Maconomy experience would be beneficial.
Effective time management.
